Privacy
Discretion is the foundation of this business, and that extends to how personal information is handled. This page explains it plainly.
Who we are
AskTarah is operated by AskTarah Limited, a company registered in England and Wales under company number 13631253.
AskTarah Limited is the data controller for personal information we use for our own business purposes.
Company information, including our registered office, is available through the Company Information link in the footer of this website.
For privacy or data protection enquiries, please contact tarah@asktarah.com.
What information we collect
The information we hold depends on how you interact with AskTarah.
If you make an enquiry, this may include your:
- name;
- email address;
- telephone number;
- location;
- preferred method of contact;
- type of support required;
- how you heard about AskTarah; and
- anything you choose to include in your message.
If you become a client, we may also hold information reasonably required to provide the support you have asked for.
Depending on the engagement, this may include contact and correspondence details, diary and appointment information, travel arrangements, property and household information, supplier details, billing information, records of instructions and permissions, and information needed to make authorised bookings or arrangements.
Private Office work can also involve information about other people, such as family or household members, employees, professional advisers, suppliers, contractors, guests or travel companions.
Occasionally, an engagement may involve more sensitive information, such as health or accessibility requirements, passport or identity information, or other confidential personal details. Such information is handled with particular care and only where it is reasonably necessary for the work we have been asked to undertake.
How and why we use information
We may use personal information to:
- respond to enquiries;
- discuss and establish potential engagements;
- provide and administer agreed Private Office services;
- communicate with clients and relevant third parties;
- arrange travel, appointments, reservations, property services and other authorised activities;
- manage invoicing, payments and business records;
- protect the security and integrity of our business and client relationships;
- establish, exercise or defend legal claims; and
- comply with legal, regulatory, accounting, tax and insurance obligations.
The lawful basis we rely on depends on what we are doing.
Most commonly, we process information because:
- it is necessary to take steps at your request before entering into a contract;
- it is necessary to perform our agreement with you;
- we have a legal obligation to do so; or
- AskTarah has a legitimate interest in responding to enquiries and operating, administering and protecting its business.
Where we rely on legitimate interests, we consider those interests alongside the rights and reasonable expectations of the people concerned.
Where special-category personal information is processed, we will only do so where an appropriate additional condition under data protection law applies.
We do not sell personal information.
We do not add people who make enquiries to marketing lists or use their details for unrelated marketing.
We do not carry out solely automated decision-making or profiling.
When we act on a client's instructions
Private Office work sometimes requires AskTarah to handle personal information solely on behalf of a client and according to that client's instructions.
For that particular processing, the client will normally be the data controller and AskTarah will act as a data processor.
Appropriate data-processing terms are used where required.
For information that AskTarah uses for its own purposes — such as enquiries, client administration, accounting, compliance and business records — AskTarah Limited acts as the data controller.
If we receive a request concerning information we hold solely as a processor for a client, we may need to refer that request to the relevant client.
Who information may be shared with
We limit sharing to what is reasonably necessary.
Depending on an engagement, information may be shared with organisations or individuals such as:
- airlines, hotels and transport providers;
- venues and reservation providers;
- household and property suppliers;
- contractors;
- professional advisers;
- technology providers;
- accounting or other professional service providers; and
- other third parties where this is necessary to carry out an authorised instruction.
Where another organisation processes personal information on our behalf, we use appropriate contractual, confidentiality and data-protection arrangements where required.
Information may also be disclosed where required by law, a court, regulator, insurer or other competent authority.
How enquiries reach us
Enquiries submitted through this website are delivered to AskTarah using Web3Forms.
When you submit the enquiry form, the information you enter is sent directly to Web3Forms for delivery to AskTarah.
This includes the information provided in the form, such as your name, email address, telephone number, location, type of support required, message, how you heard about AskTarah and preferred contact method.
AskTarah does not add hidden behavioural, tracking or profiling information to the form submission.
Standard technical information such as your IP address and browser information may also be visible to Web3Forms as part of the normal internet connection used to submit the form.
Cookies and website tracking
AskTarah does not use cookies, website analytics, advertising pixels or behavioural tracking.
The website currently uses Google Fonts. When a page is loaded, your browser requests the relevant font files from Google's servers.
AskTarah does not set cookies as part of this process. However, standard technical information such as your IP address and browser information may be transmitted to Google as part of the connection required to retrieve the fonts.
AskTarah does not use Google Fonts for advertising or behavioural tracking.
International transfers
Some Private Office services naturally involve organisations outside the UK — for example where you ask us to arrange overseas travel, accommodation or services.
Some technology or service providers may also process information outside the UK.
Where AskTarah initiates a transfer of personal information that requires safeguards under UK data protection law, we will use an appropriate lawful transfer mechanism or other permitted arrangement.
Security
AskTarah takes the security of private information seriously.
We use reasonable technical and organisational measures appropriate to the nature and sensitivity of the information we hold.
Access is limited to what is reasonably required for an engagement, and passwords, credentials and other sensitive information are handled using appropriate secure methods.
No method of electronic storage or communication can be guaranteed to be completely secure, but discretion, controlled access and careful information handling are central to the way AskTarah operates.
How long we keep information
We do not keep personal information for longer than reasonably necessary.
The appropriate retention period depends on why information was collected and whether it remains necessary:
- for an active or prospective engagement;
- to deal with queries or disputes;
- to maintain appropriate business records;
- to establish, exercise or defend legal claims; or
- to meet legal, accounting, tax, insurance or regulatory obligations.
Information held solely on a client's behalf is returned or deleted in accordance with the relevant engagement and any applicable Data Processing Agreement, subject to any lawful retention requirement.
We periodically review the information we hold and securely delete information that is no longer required.
Your rights
UK data protection law gives individuals a number of rights in relation to their personal information.
Depending on the circumstances, these may include the right to:
- ask for a copy of personal information held about you;
- have inaccurate or incomplete information corrected;
- ask for personal information to be deleted;
- ask us to restrict how information is used;
- object to certain uses of your information; and
- receive or transfer certain information in a portable format.
Where processing relies on consent, you may withdraw that consent.
Not every right applies in every circumstance, but we will always consider a request properly.
To exercise your rights or ask a question about your personal information, email tarah@asktarah.com.
You also have the right to make a complaint to the Information Commissioner's Office (ICO). We would, of course, welcome the opportunity to address any concern with you directly first.
